From 3 to 6 September 2026, Guitar Meeting Festival filled Sibiu for four days: several stages, an agenda of concerts, workshops, talks and art installations, and more than ten thousand participants — guitarists, partners and people who simply came to enjoy the festival. About 170 volunteers kept it running, and every one of them was managed on bibde.
A festival has its own kind of volunteering
A festival is not a race. There are no start and finish lines, but there are doors, desks, stages and a crowd that changes every hour. The volunteering points are specific to this kind of event, and each one has its own job and its own people.
The festival worked with a youth organization that handles most of the volunteers, about 170 people, and with coordinators for each department, so that every area of the festival had someone responsible for it.

More than half of the volunteers were minors
Over 50% of the volunteers were between 16 and 18 years old. That makes them minors, and minors come with rules that adult volunteers do not have: a guardian has to consent, and their participation has restrictions of its own.
All of it was handled on bibde, in the same place as everything else. The guardian consents, the restrictions and the assignments lived in one system, so nothing depended on a folder of papers or on someone remembering. Everything was taken care of.
Application, meeting, selection, assignment
Recruitment started with an application on bibde. Then came a meeting in person, to see how the group behaves together. Only after that came the selection, and finally the assignment to a department and a post.
The bibde recruitment workflow supports all kinds of steps and can be customized. Whether an organization has its volunteers sign the contract at the very first step or at the last one, the workflow adapts to it, not the other way around.

4 · Assignment
A department and a post for each volunteer.
5 · Four days
Check-in and check-out every day.
6 · The next day
Every volunteer received a certificate.
Known by the minute, with no incidents
Each day the volunteers checked in and out. That gave the coordinators the situation by the minute: where the volunteers were working, and whether there were any incidents involving participants.
There were no incidents whatsoever.
Around 170 volunteers, more than half of them minors, is a lot of paperwork and a lot of responsibility. bibde took the bureaucracy and the compliance off my desk, so I could spend the festival where it mattered: with the people and with whatever needed solving right then.
A certificate the next day
The day after the festival, all the volunteers received their volunteering certificate. They can use it right away to apply for other experiences, whether another volunteering position or a place at a university.
What the coordinator keeps
bibde handles every task a volunteer coordinator has other than the field work. That leaves the coordinator with the most important and the most urgent matters, instead of bureaucracy and compliance.
